Recording and tracking payments made to suppliers.

Supplier Payments

Supplier payments record every transfer of money you send to a supplier. Each payment can be allocated against one or more supplier documents, and is linked to one of your bank accounts.

The supplier payments list

Columns:

  • Reference: Unique payment number.
  • Supplier.
  • Amount and currency.
  • Payment date.
  • Payment method: Bank transfer, card, cash, cheque, or custom.
  • Bank account the funds left from.
  • Allocation status: Fully Allocated, Partially Allocated, or Unallocated.

Filters

By supplier, currency, date range, method, bank account, and allocation status.

Recording a payment

From Finance → Supplier Payments → New or from a supplier document. Capture:

  • Supplier.
  • Amount and currency.
  • Payment date.
  • Payment method.
  • Bank account: Which of your accounts the payment came from.
  • Allocation: One or more supplier documents to settle (full or partial).
  • Exchange rate (if the bank account currency differs from the payment currency).
  • Notes and external reference.

Allocated supplier documents update their paid status automatically.

Bulk payment runs

For organisations that pay many suppliers at once, draft multiple payments and confirm them together. Each line in the run is still an individual supplier payment.

Currency contracts and FX

When the payment currency differs from the bank account currency you can either book a market-rate conversion or settle the payment against a pre-arranged currency contract for a locked rate.

Aging

Outstanding supplier balances and upcoming due dates are summarised in the Aging Report.

Permissions

Recording and editing supplier payments requires finance permissions.
