Managing the reusable email templates available across the organisation.

Email Templates Settings

The Email Templates page in Settings is where admins manage the templates available to the whole organisation. (For a feature-level reference, see Email Templates.)

What you can do here

  • Create, edit, archive, and delete templates.
  • Set default templates for specific actions, e.g. the "Send Quote" action defaults to the Quote template.
  • Organise templates into categories (customer, supplier, internal, etc.).
  • Configure default recipients and default attachments per template.
  • Define the merge variables available. These pull in details from the booking and customer.

Variables reference

The editor's variable picker shows every variable available, grouped by type (customer, booking, document, organisation, user, itinerary). Variables fill in with live data when the email is sent. Test renders use a sample booking so you can preview the final output.

Versioning

Edits to a template apply immediately to new uses. Historical sent messages preserve the body that was actually sent at the time.

Permissions

By default any member can use templates; only members with appropriate permissions (typically admins) can create or edit them.
